ROLE: EXECUTIVE ASSISTANT

LOCATION: DALLAS, TX

The Executive Assistant will assist the Executive Director in management of the Board of Directors, Event Management, scheduling, development of  internal and external communications, and assist with various development and administrative tasks. This position provides an opportunity for an individual with superior critical thinking, communication, and relationship-building skills to gain an in-depth understanding of Workers Defense and the non-profit world, as well as play a critical role in supporting the advancement of the organization’s mission. This position requires a high level of attention to detail, confidentiality, and excellent writing and communications skills.

THE ROLE IN ACTION: 

  • Management of Board of Directors activities and engagement  
  • Coordinate with worker member Board Members to ensure they have support for meetings
  • Manage the calendar and travel of the Executive Director. 
  • Compose, edit and proofread correspondence
  • Fill out regular paperwork and reports 
  • Assist with management of Leadership Council including scheduling and logistics, agenda development, outreach, follow-up, and logistics 
  • Contact key allies and funders to schedule meetings for the Executive Director
  • Ensure timely data entry and track activities and events in WD’s database
  • Assist with event planning and coordination (both in person and virtual)
  • Assist with managing correspondence and identifying high priority items to bring to the Executive Director’s attention
  • Support fundraising activities as assigned
  • Any other activities that are necessary to carry out the work of Workers Defense

WHAT YOU’LL BRING*:

  • 2+ years of administrative job experience
  • Ability to work with Microsoft Office tools, Google Business Apps, and database management software
  • Excellent written, verbal, and listening communication skills
  • Knowledge of general office procedures
  • Strong project management skills and ability to juggle multiple deadlines and priorities
  • Bilingual in English and Spanish – Required
  • Strong attention to detail
  • Motivated individual with ability to work independently
  • Experience working in a non-profit and fast-paced environment;
  • Exceptional interpersonal skills
  • Must have an insured vehicle and valid Texas driver’s license

WHAT WE OFFER:

  • Salary scale starting at $60,000 and based on experience
  • $1,000 annual bilingual language stipend.
  • Employer-paid medical, vision, dental, and life insurance.
  • Paid leave consists of 10 days vacation, 10 days sick, and 5 days personal. 
  • Paid holidays in addition to office closures the week of Thanksgiving and  December 23rd through 31st.
  • Every other Friday off.
  • Retirement plan with company match of 3% (as per our Personnel Policies Manual). 
  • Parental leave of 12 weeks paid (after probationary period – 90 days from hire).
